Zap Data Hub – Change the reporting period to a calendar year

Modify the Trial Balance report to use calendar‑year periods instead of financial‑year periods

Zap Data Hub lets you modify the reporting period on your Access Ledger reports, including the Trial Balance, so you can switch from the default financial year (01/07–30/06) to a calendar year (01/01–31/12). This is useful when preparing reports for clients who operate on a calendar year basis.

1. Open the Access Accountant Solution

  1. Log in to Zap Data Hub

  2. Open the Resource Explorer (folder ellipsis on the left-hand side)

  3. Expand Public > Access Accountant Solution

2. Copy the Trial Balance report to your personal folder

  1. Expand Compliance Reports

  2. Right‑click Trial Balance and select Copy

  3. Under the Personal section, right‑click your folder and select Paste

  4. Double‑click the copied report to open it

Note: Copying the report ensures you do not make changes that affect all entities.

3. Edit the report

  1. Click the Edit (pencil) icon

  2. Click the < arrow to expand the Connection and Query slicers

4. Update the Calendar slicer

  1. Under Slicers, double‑click the {...} Calendar slicer

  2. Double‑click Current Month to open its settings

5. Change the date hierarchy

  1. Under Connection > Access Accountant Solution, double‑click Date

  2. Drag Calendar YQMD into the Date hierarchy field

  3. Click Apply

6. Apply the same update to other date slicers

Repeat the same drag‑and‑drop action for each slicer:

  • Current Year

  • Last Complete Month

  • Last Complete Year

  • Years to Current

This ensures the entire report uses the calendar year hierarchy.

7. Save the report

  1. Click the Save icon

  2. Close the editor when saving is complete

Running your report

When you run the updated report:

  • Your date slicers will now display 202X

  • The financial year view 202X/202X will no longer appear

  • Selecting a calendar year will produce the correct trial balance for 01 January – 31 December
